Quoting and invoicing software for trades and builders: which step eats your hours?
Quoting and invoicing software for builders and trades does three jobs. It turns the details of a job into a quote in your layout. It turns an accepted quote into an invoice. It shows which quotes are still open. Some packages add job scheduling and payments on top.
We are not a software vendor, and this page does not rank products. The real question before you choose one is which step of your quote-to-invoice process eats the hours: taking the enquiry, pricing the job, writing the quote, chasing it, or typing the invoice. Time one real week first. Then the choice of tool follows the numbers, and sometimes the answer is not new software at all.
If you run a small building firm or trades business, quotes and invoices eat the evenings. Apart from software, AI reliably handles the desk work that repeats for a contractor: taking in enquiries, drafting quotes from your line items, chasing unanswered quotes, building invoices and filing job paperwork. The trade stays with your crew. A person in your business checks every draft before it goes out.
What can AI reliably do in a trades business today?
Reliably means the task repeats, the steps can be described and a person checks the result. In a trades business that covers five things.
Enquiries. A message, email or voicemail transcript comes in. AI picks out name, address, trade, what is needed and preferred dates, opens the job record and drafts the reply. You check and send.
Quotes. You give the line items, typed or spoken. AI builds the quote in your layout with your standard wording. You check prices and totals. You set the prices, not the AI.
Follow-up. Not every quote gets an answer. AI tracks which ones are still open and drafts the short reminder.
Job paperwork. Job sheets, materials lists, completion notes and site photos get clear names and go into the right job folder. Any certificate or sign-off document stays with the qualified person who signs it.
Invoices. When the job is done, AI builds the invoice from the agreed quote and the completion notes. It flags any line that differs from the quote. You check and send. Chasing late payers stays your call, with a drafted reminder to hand.
Which tasks pay back first?
The step before the quote usually matters more than the quote. In our own task list, qualifying an enquiry and writing a short brief takes 7.5 active minutes per run, across ten runs a month. Once that groundwork is done, the quote itself stays short. The full reasoning is on quotes and enquiries.
- Enquiry intake: a fast first reply, and every detail in one record.
- Quotes from a fixed structure: the layout repeats in every quote. Only the content changes.
- Quote follow-up: short, similar messages. A forgotten reminder can cost the job.
- Quote to invoice: the same lines are typed twice, once in the quote and once in the invoice.
How to work out your own number. Active minutes per quote or invoice, times how many you write per week, times the number of people who write them. Multiply by the weeks in a month, divide by 60 for hours.
Time it for one real week first. We do not quote a saving for your business before it is measured.
Quoting software or a measured build?
Quoting and invoicing software for trades is a real category. One package can cover quotes, invoices and job management. For some firms it is the right buy. It also costs setup time and a new way of working.
The question to ask first is which steps in your week take the time. The tool choice comes after you have measured which task costs the most hours, not before. If the time sits in writing quotes, software or a small build can help. If it sits in answering enquiries late, chasing quotes or re-typing the same lines into your accounts, a different fix pays.
We do not sell quoting software. We time the steps for one real week, write a decision on each, and build only the one that pays. That can mean a small workflow on tools you already own. It can also mean the answer is: buy the package, and here is what to look for. If it is, I say so.
Will AI replace the person who prices jobs?
Not the pricing. You set the prices, and you know what a job really involves. AI drafts the quote from your line items. A person in your business checks the prices and totals before it goes out.
What it takes over is repeat desk work: typing the same lines twice, filing paperwork and writing the same reminder. Site work and pricing judgement are not its job.
When is it not worth it?
It does not pay when volume is low. A handful of quotes a month does not repay the setup.
It does not pay when every job is new and priced from scratch. There is no fixed structure to fill in.
It does not help on site. Fitting, measuring and repairing are not tasks for AI. It helps at the desk.
And it does not pay without a checker. Every quote needs one person who approves it, and someone in the office needs time to set it up.

What about customer data?
Enquiries and quotes hold names, addresses and phone numbers. Before an AI service processes them, read the provider's terms. Find out where the data is processed and whether it is used to train models. Get a written data processing agreement. If the answer is not in writing, rule that provider out.
The checks, step by step, are on AI and data privacy. The rules that apply depend on your country. This page is not legal advice.
How do we start?
With the Time Audit. It measures every recurring task in your business and writes a decision on each row: automate, drop or keep. You see in black and white which task goes first. No new software is needed beforehand. If you have no IT person, AI without an IT department explains how to begin anyway.
Before it comes the free 20-minute diagnosis. We go through your routines and decide whether the Time Audit is the right tool. If it is not, I say so.
Free, 20 minutes, no sales pitch.
What usually comes next
Once quotes go out faster, the next question is whether the prices are right. What does each type of job really cost you, on fully-loaded hourly costs? The Cost Audit tests each recurring delivery and marks the ones that are subsidised by other work. After that comes keeping leads and contacts in order, so repeat customers do not get lost.
Frequently asked questions
Should I buy quoting and invoicing software for my trades business?
Maybe. First measure which steps in your week take the time. If the time sits in writing quotes, software can help. If it sits in late replies, chasing or re-typing, another fix pays. We do not sell software, so the answer follows your numbers.
What can AI reliably do in a trades business?
Desk work that repeats: taking in enquiries, drafting quotes from your line items, reminding you about unanswered quotes, building invoices from the agreed quote and filing job paperwork. A person checks every draft. The trade work stays with your crew.
Which tasks pay back first for a trades business?
Enquiry intake, quotes built from a fixed structure, quote follow-up and turning an agreed quote into an invoice. They repeat often and follow a pattern.
When is AI not worth it for a trades business?
When there are few quotes a month, when every job is priced from scratch, when nobody checks the drafts, or when nobody in the office has time to set it up.
Will AI replace the person who prices jobs?
Not the pricing. You set the prices. AI drafts the quote from your line items and a person checks it before it goes out. It takes over repeat desk work, not pricing judgement or site work.
What does it cost?
The 20-minute diagnosis is free. The Time Audit is €1,490 ($1,700) net + VAT, the Cost Audit €1,790 ($2,040) net + VAT and the Build Sprint €4,900 ($5,570) net + VAT. All are fixed prices, delivered within 5 working days. Details are on the Time Audit page.
Is customer data safe in an AI tool?
It depends on the provider. Check where the data is processed, whether it trains models, and get a written data processing agreement first. This is not legal advice.
