AI for property managers and letting agents: fewer repeat messages, fewer keyed invoices.
If you searched for letting agent software or AI for property managers, here is the short version. Letting agent software, called property management software in the US, is the system that holds your properties, tenancies, rent and maintenance records. AI is something different. It sorts tenant messages, drafts replies from your standard answers and matches contractor invoices to the work they belong to. It drafts and sorts. A person decides, and anything urgent goes straight to a person.
We are not a software vendor, and this page does not rank products. For a small independent letting agency or a small property portfolio, the real question before choosing any system is which repeat task eats the hours. We measure your week first, then build only what pays.
What can AI reliably do in property management today?
Reliably means the task repeats, the steps can be written down and a person checks the result. In property management that covers four things.
Tenant messages. Repair reports, access requests, rent questions, noise complaints. AI sorts each message by type and urgency, drafts the reply from your standard answers and logs a maintenance request against the right property and unit. You check and send.
Urgent cases. A leak, no heating or a safety issue is not drafted and queued. A written rule sends it straight to a person at once.
Contractor invoices. An invoice arrives. AI matches it to the work order, codes it to the property and owner, and puts it in the approval queue. A person approves before payment.
Filing and owner reports. Inspection reports and lease documents get clear names and the right folder. The monthly owner report is assembled from the same records, and a person reads it before it goes out.
Which tasks pay back first?
Start with what comes in most often and follows a pattern. For a property manager that is usually the same few questions from tenants, then the work-order log, then invoice matching.
- Replies to repeat questions: opening hours, how to report a repair, what happens next. The answer exists, it only has to be sent.
- Work-order logging: every repair report ends up in one record with property, unit and date.
- Invoice matching: invoice against work order, coded and queued for approval.
How to work out your own number. Active minutes per message or invoice, times how many arrive per week, times the number of people who handle them. Multiply by the weeks in a month, divide by 60 for hours.
Count one real week before you decide anything. We do not quote a saving for your portfolio before it is measured.
Will AI take over property management?
Not the job itself. AI takes over parts of the desk work, not the job. Sorting a message, drafting a standard reply and matching an invoice to a work order are repeat tasks with a clear pattern. Judging a dispute, handling a deposit, calming a tenant and deciding what to repair first are not.
The honest picture is a split. The repeat part gets lighter. The part that needs a person stays with a person. How big each part is in your office is a measurement question, not an opinion.
What do property managers use AI for?
The uses above are the ones that hold up: message sorting and drafts, maintenance logging, invoice matching and owner reports. Each has a written rule and a named checker. Uses without those two things are hard to rely on.
Some managers find AI useless, and some of them are right. It is useless when the standard answers are not written down, when volume is low, or when nobody checks the output. That is why we measure before we build.
What is the hardest part of property management?
There is no single answer, and it differs by portfolio. Our view: for many offices it is the steady stream of small requests, because each one is short, none can be skipped and they break up the day. Whether that is true for you shows up when you count one real week. That count is the first step of the Time Audit.
When is it not worth it?
It does not pay for a small property portfolio with few messages and invoices. The setup costs more time than it saves.
It does not pay while the standard answers are not written down. AI drafts from your answers. If they are in someone's head, write them down first.
It does not replace decisions with legal effect. Deposits, notices and disputes stay with a person, and with your legal advice.
And it does not pay without a checker. Every draft and every invoice match needs a named person who approves it.
What does it cost?
The first step costs nothing. In the free 20-minute diagnosis we check whether and where AI pays off in your business. After that come fixed prices, net + VAT:
- The Time Audit: every recurring task in your business measured, each with a written decision: automate, drop or keep.€1,490 ($1,700) net + VAT · fixed price · delivered within 5 working days
- The Cost Audit: what each recurring delivery really costs, on fully-loaded hourly costs.€1,790 ($2,040) net + VAT · fixed price · delivered within 5 working days
- The Build Sprint: builds the task you choose. You get working software.€4,900 ($5,570) net + VAT · fixed price · 5 working days
The Time Audit is credited 100% against a Build Sprint ordered within 30 days. We work with companies in any country, remote-first. Prices are net. VAT or other taxes are applied according to the rules of your country.
What about tenant data?
Tenant messages and invoices hold names, addresses, phone numbers and sometimes details about health or family. Before an AI service processes them, read the provider's terms. Find out where the data is processed and whether it is used to train models. Get a written data processing agreement. If the answer is not in writing, rule that provider out.
The checks, step by step, are on AI and data privacy. The rules that apply depend on your country and your licence terms. This page is not legal advice.
How do we start?
With the Time Audit. It measures every recurring task in your office and writes a decision on each row: automate, drop or keep. You see in black and white which task goes first. No new software is needed beforehand. If your office already pays for Microsoft 365, the approval steps can be built in tools you own, as described on Power Automate and Copilot Studio.
Before it comes the free 20-minute diagnosis. We go through your routines and decide whether the Time Audit is the right tool. If it is not, I say so.
Free, 20 minutes, no sales pitch.
What usually comes next
Once messages and invoices are under control, the next problem is the day itself: who does what, and what gets handed over when someone is away. See daily planning and handover. The Cost Audit then shows what each recurring service costs you per property.
Frequently asked questions
Will AI take over property management?
Not the judgement. AI drafts and a person checks. It takes over parts of the repeat desk work: sorting messages, drafting standard replies, logging maintenance requests and matching invoices. Judgement, disputes, deposits and urgent cases stay with a person.
What do property managers use AI for?
To sort tenant messages by type and urgency, draft replies from standard answers, log maintenance requests, match contractor invoices to work orders and assemble owner reports. A person approves. Urgent cases go straight to a person.
What is the hardest part of property management?
It differs by portfolio. For many offices it is the steady stream of small, repeat requests that cannot be skipped. A count of one real week shows whether that is true for yours.
Is AI actually useful in property management, or just hype?
It is useful for repeat tasks with a written rule and a named checker. It is not useful when standard answers are not written down, volume is low or nobody checks the output. Measure first, then decide.
Which property management tasks pay back first?
Replies to repeat tenant questions, work-order logging and invoice matching. They arrive often and follow a pattern.
When is AI not worth it for a property manager or letting agent?
When the portfolio is small, when the standard answers are not written down, when the task carries legal effect, or when nobody checks the drafts.
What does it cost?
The 20-minute diagnosis is free. The Time Audit is €1,490 ($1,700) net + VAT, the Cost Audit €1,790 ($2,040) net + VAT and the Build Sprint €4,900 ($5,570) net + VAT. All are fixed prices, delivered within 5 working days. Details are on the Time Audit page.
Is tenant data safe in an AI tool?
It depends on the provider. Check where the data is processed, whether it trains models, and get a written data processing agreement first. This is not legal advice.
